General instructions, data protection, cancellation for trade fair visits

I. Privacy policy

By providing your personal data, you transmit this data to us. You determine the type and scope of the data transmitted by providing the data yourself. Before you finalise your entry, we would like to draw your attention to the collection, processing and use of the data. We will initially use the transmitted data to plan internally for the selected trade fair visit and to compile a list of participants. It will also be used to send you further information about our other services. The data will then also be used by us to fulfil the contract (the trade fair visit). If you provide your e-mail address, we may also use it to send you additional information about the services of futureDOCTOR GmbH by e-mail in the future (e.g. newsletter). Your e-mail address will be stored for this purpose until you unsubscribe from the newsletter or we discontinue the newsletter. If necessary, the data transmitted will be passed on to the service providers commissioned by us, i.e. IT service providers (who store the data for us). The data is passed on to the aforementioned third parties exclusively for the purpose of fulfilling the contract and thus for the purpose of organising the trade fair. The transfer of data is not required by law or contract and there is no other obligation to do so. However, it is necessary for us to fulfil the contract, as we cannot offer our services without the transfer. The legal basis for the collection, processing and use of the data required for the fulfilment of the contract or for the implementation of pre-contractual measures is Art. 6 para. 1 lit. b) GDPR. With regard to the use of data for the purpose of further information, the legal basis is Art. 6 para. 1 lit. f) GDPR. The data processed for these purposes will be deleted after the respective purpose pursued with the processing has been achieved, but not before the expiry of a statutory retention period. If the data is required for the conclusion, fulfilment and/or termination of a contract, it will be stored by us for the period necessary for this purpose and deleted after termination of the contract, unless there are contractual and/or legal obligations for further data storage. According to the GDPR and the BDSG, data subjects affected by data processing have a right to information about the data collected from them in accordance with Art. 15 GDPR. They can request confirmation of the data processing and a copy of the data. They also have the right to lodge a complaint with the competent supervisory authority in accordance with Art. 77 GDPR. The persons affected by the data processing have a right to rectification in accordance with Art. 16 GDPR, which can also lie in the completion of the data. They also have a right to erasure of the data ("right to be forgotten") in accordance with Art. Art. 17 GDPR and a right to restriction of processing (Art. 18 GDPR) as well as a right to data portability (Art. 20 GDPR). There is also a right to object (Art. 21 GDPR) to future data processing and, finally, the restrictions on automated decisions in individual cases including "profiling" (Art. 22 GDPR) apply.

II. With the confirmation that you receive by e-mail in response to your enquiry about attending the trade fair, you are generally entitled to attend the selected trade fair free of charge. However, futureDOCTOR GmbH is also entitled to cancel the trade fair, for example due to insufficient participation or due to circumstances beyond the control of futureDOCTOR GmbH.

III. The fair participant declares that he/she will not apply for a study programme in human medicine and/or dentistry at one of the universities exhibiting and/or present at the fair. Otherwise, and in the event that he/she receives a confirmation of a study place there, he/she shall be liable to futureDOCTOR GmbH for the full placement fee (EUR 9,600.00 gross) by way of compensation. If he/she applies himself/herself and does not receive a study place, he/she is liable for the full application fee (880.00 euros gross). The applicant is at liberty to provide evidence that no loss at all or only a lesser loss has been incurred.

You have the right to cancel this contract within fourteen days without giving any reason.
The cancellation period is fourteen days from the day the contract is concluded.

by means of a clear statement (e.g. a letter sent by post, fax or e-mail) of your decision to cancel this contract. You can use the attached sample cancellation form, but this is not mandatory.
To meet the cancellation deadline, it is sufficient for you to send your notification of exercising your right of cancellation before the cancellation period expires.

Consequences of cancellation
If you withdraw from this contract, we shall reimburse to you all payments received from you, including the costs of delivery (with the exception of the supplementary costs resulting from your choice of a type of delivery other than the least expensive type of standard delivery offered by us), without undue delay and in any event not later than 14 days from the day on which we are informed about your decision to withdraw from this contract. For this repayment, we will use the same means of payment that you used for the original transaction, unless expressly agreed otherwise with you; in no case will you be charged any fees for this repayment.
If you have requested that the services should commence during the cancellation period, you must pay us a reasonable amount corresponding to the proportion of the services already provided up to the time at which you inform us of the exercise of the right of cancellation with regard to this contract compared to the total scope of the services provided for in the contract.
